How does the planning process work once the group is formed?

Oncethe number of participants is confirmed, a destination expert takes care of the entire trip planning process, from start to finish. Here are the steps to ensure everything is perfectly prepared:

  1. Creating the Communication Group
    As soon as the group is formed, the group coordinator creates a WhatsApp group with all participants. This will be the perfect place to chat, ask questions, and get to know each other before departure. The group also helps build camaraderie among members, creating a friendly atmosphere even before arriving at the destination.
  2. Personalized Preparation with the Destination Expert
    The group leader, who is also the destination expert, organizes a group call with all participants. During this call, they will provide all the technical information needed to prepare for arrival, answer any practical questions, and reassure each participant about the upcoming trip.
  3. Assistance with Flight Searches
    The destination expert helps participants search forflights, offering advice on the best flight options and departure and arrival times to facilitate group coordination and ensure everyone arrives at the same time to optimize logistics. It will be up to each participant to book their own international flights.
  4. 21 days before departure: final preparations with a virtual get-together
    Three weeks before departure, a brief virtual get-together is organized for one last discussion with the destination expert. This will be an opportunity to ask any final questions and review the practical details of the trip.

It is also during this virtual get-together that participants will elect a group leader. This leader will be responsible for ensuring that everything runs smoothly during the trip. They will guide the group to the right places at the right times, using an extremely detailed travel guide that will be provided to them. Of course, all participants will also receive a travel guide, but the group leader’s will be more comprehensive. The group leader will serve as the main point of contact between the group and the expert throughout the trip, ensuring optimal organization.

1. Ongoing communication between the group leader and the trip designer

Thegroup leader, selected during the virtual meet-and-greet, stays in constant contact with the expert trip designer. This ensures that everything goes as planned and allows for adjustments as needed. In the event of a question or urgent need, the group leader can quickly get a direct response to resolve any situation.

2. Meals: Local Suggestions and Recommendation Guide

It’s important to note that meals are generally not included, except when they’re part of excursions or special activities mentioned in the itinerary. However, don’t worry—you’ll never be left without options! Throughout your trip, you’ll be accompanied by the driver and your local contact, who will provide you with plenty of suggestions for places to eat. In addition, you’ll receive a comprehensive guidebook to help you discover the best restaurants, cafés, and local specialties during your stay.

What if I’m the only one who wants to do a different activity?

We’ll suggest that you join another group organized by our local service provider, and we’ll also provide you with the price for a private tour whenever possible.

What happens if there are fewer than 8 people registered?

The trip can still take place, but it will inevitably be more expensive. We’ll provide you with the price based on the exact number of people, and if all participants agree, the trip will go ahead.

What if I want to stay in a single room?

The listed rates are based on double rooms (onelarge bed) or twin rooms (two separate beds), which means you’ll share a room with another participant. For a single room, you’ll need to add the single supplement listed at the bottom of the quote. It’s possible to request a single room only for certain legs ofthe trip.

I’d like to extend my trip or start it on my own—is that possible?

Of course. You can arrange an extension before (to relax before the trip begins) or after the trip, as long as you join the group on the first day of the trip. Terra Caribea is available to help you organize these extensions.

When is the trip confirmed?

Thetripis confirmed 60 days before departure, provided there are at least 4 participants. A 30% deposit is required at that time.
